Managing consultants from configuration
Users with administrator authority can perform advanced management of external consultants. You can add, edit, merge duplicates, and export a list of consultants.
Providers can also add and edit consultants while initiating a referral (see Managing external consultants while initiating a referral). All users can also view and edit the list of consultants from the WorkDesk (Reference > Consultant List).
Steps
1. | On the Wolf EMR home tab, click Configuration ![]() |
2. | From the View menu, choose Physicians /Service Providers > External Consultants. The Consultant Maintenance window opens. |
3. | To see a list of all consultants, on the Search tab, click the Search button without entering any information. |
Tip: To see or search for inactive consultants, select the Include Inactive check box. In the list of consultants, inactive ones appear with an (I) indicator before their name. When you view their details, the date when they became inactive in your system is included.
4. | To search for a consultant, on the Search tab, enter the criteria and click the Search button. |
The results appear in the Search Results tab. Click a consultant to see their information.
5. | To add a new consultant: |
a) | In the upper-left corner, click the new button ![]() |
b) | Enter the consultant’s information. |

The provider’s ID number. |
Wolf ID and Wolf Version |
Do not enter anything. |
Referral Word Template |
If you created customized consult letter SMART forms (for example, for specific specialties), type the name of the form you want to default to for this consultant. When you click Send to SMART Form on the New Referral window, the consult letter you specify here displays. |
Referral Composer Template |
If you created a default letter template to use when creating the referral letter using the Referral Letter Composer, type the name of the template. |
Data Share Address |
The consultant's eMS address, if applicable, used to send and receive eReferrals and related information electronically. |
Inactive Date |
If the consultant is no longer active, enter the inactive date. |
User-Defined Forms |
If you defined a form of consultant fields (View > User Defined Forms), you can select it from this list and print it. |
Merge options |
Merge: Use to merge one consultant's data to another if duplication has occurred.

7. | To merge duplicate consultants: |
a) | View one of the duplicate consultant’s information and click Merge. |
b) | In the Merge Record window, above the Merge To (Target) column, choose the other duplicate entry. |
c) | Compare the differences (if any) to confirm that the entries are duplicates. The entry in the Merge To (Target) column will be kept and the entry from the Merge From (Source) will be deleted. |
d) | Click Merge. |
e) | To undo the most recent merge, click UnMerge. For example, if Consultant A is merged to Consultant B, then Consultant A's records are transferred to Consultant B. If Consultant B is then unmerged from Consultant A, any changes made to Consultant B after the original merge remain with Consultant B. |
f) | If you are a user with administrator privileges, click View / Undo Changes to view or undo changes. |
8. | To delete a consultant, from the File menu, choose Delete Consultant. |
