Starting encounters for patients without booked appointments

You can open a consult letter form for a patient who does not currently have an appointment booked with you. Begin by adding the patient to your appointment list, and then start an encounter from your appointment list.

Steps

1. From your WorkDesk, click Appointments tab, and then navigate to the date you want to create the SOAP note for. See Viewing your schedule (providers).
2. On the Appointments tab, click Enter New Encounter , and then in the Patient Search window, search for and select the patient you want.The Enter New Encounter window opens, with the patient’s name, MD, and clinic location pre-populated.

3. In the Enter New Encounter Information window, enter or modify information using the following table as a reference:
Field Description

MD

Your name is entered by default. To make an appointment for another provider, click the provider’s name.

Note: If your clinic has multiple locations, you can select only practitioners who are assigned to any of the locations that you are assigned to.

Location

If your clinic has multiple clinic locations, click the location you want to make the appointment for.

Type

Optionally, click the appointment type.

Reason

Optionally, click the appointment reason.

Appointment start

To modify the date and/or time of the appointment, click , and then on the calendar, select the time, and double click the date.

Appointment Length

Enter the amount of time (in minutes) required for the visit.

Display in Wolf Appointment

Clear to exclude the patient’s appointment from the clinic appointment scheduler.

Non-Billable

Select to exclude the patient from the billing list.

4. Click . The EMR displays the patient on your appointment list for the date and time you specified.
5. From list of office visits, double-click the office visit you want to start an encounter.
